Question:
Someone tried to send me an email and got “This users mailbox is full” as a reply, why is this?

Answer: Mailboxes have a limit of 10MB. Very large attachments can quickly use up space. Do a send and receive from your email client to “clean out" your mailbox. Then ask the person to resend the email. If you need to receive attachments larger than 10MB, please contact your administrator to inquire about a larger mailbox.

Question: Why haven't I received an email?

Answer: There are generally 3 reasons why an email will not find its way to your inbox.

  1. The message was addressed incorrectly. Ask the sender to double-check the email address used.
  2. The message has been intercepted by your Spam filter -- either because of the message content or because the sender was blacklisted. Follow the procedures to check your Spam filter.
  3. The message was sent to either a list of addresses or several "CC'd" recipients. Many times mail servers have difficulty handling messages sent to lists or several recipients. (This happens quite often with messages that include attachments.) Ask the sender to re-send the message only to you without the other recipients.

Question:
I have a great number of rules in effect within my web mail box and some of the blacklisted emails are still getting through. How do I keep the number of rules down, while blocking unwanted e-mails?

Answer: There are two ways to keep the number of spam filtering rules low:

1. Do not create a new filter / spam blocking rule for every SPAM that makes it into your Inbox. Only create a rule when you see multiple spam from the same sender or with the same subject that make it into your Inbox.

2. When creating a spam blocking rule consider blocking all mail boxes from a sending address. Spammers are sneaky and they will try to figure out a way to go around your rules. In order to beat the spammers, set a rule to block all e-mails from that particular domain.

For Example:
If the e-mail address is gflowers@freepartyhats.com. Simply use the default when you set the blacklist rule and remove “gflowers”. This will block all e-mail from safewheels.com. *See screenshot below.

Caution: Be careful when you blacklist domains. Make sure the domain is not a popular one, such as "aol.com".

Question:
I received the following email:

Your mailbox is close to its limit/quota. Please empty your mailbox or you will not be able to receive new messages.


What does this message mean?

Answer: The warning "mailbox close to limit/quota" can occur when several emails with attachments, images, or other large amounts of data accumulate in the mailbox at once, as in overnight. Downloading your email into Outlook will fix this. If this occurs more than once in a while, contact your management as a larger mailbox may be required.

Question: Why can’t I send or receive e-mail?

Answer: Verify that you can get to the internet. Start Internet explorer and try to open a page like www.msn.com or www.yahoo.com. If you can’t get the Internet you won’t be able to send/receive e-mail. This type of problem is most likely a SNIP problem.

Question: I send an email but get a reject message – how come?

Answer: Verify that the e-mail address you are using to send the email to is good – if you’ve sent e-mail before to the person and you know there e-mail has not changed then the address is most likely good. If the address is new, or you keyed by hand, as opposed to using a distribution list or an existing contact then check carefully for typo.

Question: Why have I been having problems sending email to AOL and Hotmail e-mail accounts?

Answer: Some e-mail providers, such as AOL and Hotmail, are often used to spam or spoof email. As such they are often subject to aggressive anti-spam and relaying rules. We have had complaints about this from customers using our mail service and those using other services as well. This unfortunately is something beyond our control. We do not restrict sending email to any addresses.

Question: My web mail is blocking e-mails I would like to receive. How do I resolve this problem?

Answer: The first thing you want to check is the server rules. If a person's e-mail address is being rejected or blocked, it's most likely because you accidentally blacklisted their e-mail address. This will prevent them from sending you e-mails. In order to correct the server rule, you need to login to your sigmahost.net web mail account.

Please follow these steps to check you rules:

  1. Go to http://sigmahost.net:8080/mail/ and login to your account.
  2. Click the "Settings" button on the top of the screen.
  3. Click the "Server Rules" link on the left-hand side of the screen.
  4. Scroll through you list of rules. Look for that particular person's e-mail address. If the email address has a red arrow next to it, then you have blacklisted the address.
  5. In order to receive e-mails from that particular email address, you must delete the rule.

Question: Why is it sometimes I get e-mail failure notices immediately and other times it takes days?

Answer: By default it is 4 days before a rejection will come back, if it is a non fatal rejection. If it's a fatal rejection, it will come back immediately.

Question: Why are some e-mail addresses now case sensitive? They didn't used to be.

Answer: If the e-mail is being rejected, it's the other server that is rejecting the e-mails. The other server could have changed their settings and now is rejecting based on case sensitive. Settings on email server across the internet are constantly being changed and as such you cannot rely on “it used to work” anymore. I suggest you update your address book accordingly.

Question: How do I set up the fast login feature on the sign-in page?

Answer: If you would like to use the sigmahost.net fast login option when logging into your web mail, please follow these steps.

1. Logon to http://sigmahost.net:8080/mail/.
2. Select the “Click here for fast login” link.
3. Enter your user name and password in the “Enter Network Password” box.
4. Select the checkbox next to “Save this password in you password list”.
5. Select “OK”

From this point forward you will be able to simply click “Click here for fast login” and then “OK”.
